Register or a third party makes a registration for you to attend our webinars, event, conferences and trade shows using the www.3vents.it or www.wholesaletours.it (or sub-domain of) websites;
Subscribe to receive email information from 3vents through the www.3vents.it or www.wholesaletours.it (or sub-domain of) websites;
Download one of our publications or assets from the www.3vents.it or www.wholesaletours.it (or sub-domain of) websites.

2.1 Your personal information

In this Privacy Notice, the term “personal information” refers to the types of information we may collect and use, which includes:
Contact details, including your first name, last name, professional position, job function, company, email address, postal address and phone number;
Gender, educational, nationality, professional background information and interests;
Any personal information provided directly by you during a (physical or virtual) event, conference, webinar or trade show organised by us;
Geo-location information at a physical conference (if you attend a conference where we are using RFID-enabled badges).
We collect and use your personal information for the following purposes:

• As contact data which may include individual, member and/or corporate contact data;
• In connection with our event visitors, exhibitors, speakers, conference visitors and attendee data, as further detailed in Section 3.2 below

2.1.1 Special categories of information

Certain types of personal data are more sensitive as they include information on racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic or biometric data.
We may collect and use the following types of special information:
Dietary requirements that imply specific religious beliefs or medical conditions.
Any physical or mental disability or impairment you may disclose to us. We collect and use this personal information to provide you with hospitality services during the Conference.
Medical data that imply the COVID-19 vaccination status of the attendee, and/or the absence of infection with COVID-19. We collect and use this medical data to comply with the legal obligations imposed on the organisation of large events during the COVID-19 pandemic.

2.2 Collecting personal information

We collect personal information when:
You register for and/or attend our Event, conferences, webinars, trade shows and/or activities associated with our event;
A third party makes a registration for you to attend our event, conferences, webinars, trade shows and/or activities associated with our event;
You ask us for information about one of our event, including through the downloading of a brochure and/or in case you contact us with a question or complaint;
You provide any personal data to us or to any of our virtual environment service providers (including e.g. a webinar service provider or a virtual conference service provider) whenever we organise and host a virtual conference, webinar or other event;
You are scanned using barcode and/or RFID scanner by us as the event/conference organiser and/or an exhibitor at our event, conference and/or trade show;
Subscribe to receive email information, including newsletters or marketing communications, from 3vents;
Download one of our publications or assets from 3vents website.

3. How and why personal information is used

This section explains how and why we use personal information.

3.1 Lawful Processing in Europe

As we collect and process personal data, the lawful bases we use for this activity in the European Economic Area ("EEA"), as required under the Data Protection Legislation are:
Where it is necessary, for 3vents to enter into or perform a contract with you;
Where 3vents has a legitimate interest to do so, provided your rights do not override these interests;
Where you have consented to the use of your data for the purposes of supplying you with additional email marketing information about our services, conferences, webinars, events and other activities;
Where it is in the legitimate interest of 3vents to promote its event (including conferences, webinars, etc), for the purposes of sharing your personal information with sponsors of these events to allow those sponsors/exhibitors to send you commercial messages relating to their other products and services that may also interest you;
Where you have consented to the use of your data for the purposes of analysing session attendance, delegate flow and to manage session capacity;
Where you have consented to the use of your data for the purposes of providing you with the adequate hospitality services during the event;
Where 3vents has a legitimate business interest to do so for the purposes of operating the event, providing and improving our services, and to manage and promote our business;
Where 3vents has a legitimate interest to do so for the purposes of supplying you with additional email marketing information about our conferences, webinars, events and other activities;
Where it is necessary, for you to share data with us to comply with our legal obligations.

3.2 Event and Exhibition Management

If you have agreed to participate in one of our events (which include among other things physical or virtual conferences and online webinars) as a sponsor, exhibitor, panellist, keynote speaker or attendee, personal data is used in connection with the running of the event, to handle payments, invoicing and/or for other purposes, as is necessary to deliver the service and/or for performing the contract entered into.
If you are a presenter at one of our events, we will collect information about you including your name, employer and contact information, and photograph, and we may also collect information provided by the event attendees who evaluated your performance as a presenter. We may also make and store a recording of your voice and likeness in certain instances. 3vents relies on a legitimate interest basis for collecting, storing and processing this information.

At our events, your name badge may contain some of your personal data that you have provided to us, which may include your name, job title/function and company. When scanned, this information will be made available to us or the relevant exhibitor and processed in the manner as described above. By allowing the exhibitor to scan your badge you are consenting to have 3vents provide the exhibitor with your contact information and therefore you may be contacted by the exhibitor post-event. If you do not wish the exhibitor to contact you, please communicate this directly with the exhibitor at the event or thereafter.

If you attend an event where we are using RFID-enabled badges, the geo-location data of your badge will be collected to determine session attendance, to understand the flow of delegates around the workshops, conference and exhibition hall and to manage session capacity. Data collected from badge scanning will be anonymised and aggregated and will only be used to determine a total number of attendants in the exhibition hall, at each of the workshops and at each of the conference sessions.

If you attend an event where we are using a Mobile Application for information and communication purposes, which allows for Direct Messaging and/or Meeting or Appointment setting via the Mobile Application, and in case you have opted in to be included on an attendee list, then we will share the personal data you provided during the registration process and/or via the Mobile Application with other delegates for the purpose of them Direct Messaging you and/or making Meetings/Appointments with you via the Mobile Application.

If you participate in one of our virtual event and you access the virtual exhibit of one of our sponsors or you decide to otherwise engage with any such sponsor, this is a clear affirmative act by which you consent to us sharing your contact information with that specific sponsor for the purpose of allowing them to connect with any event attendees who may be interested in the products and/or services offered by them. You may therefore be contacted by that sponsor during or after our virtual event. Please note that the sponsor's processing of your personal data is subject to your direct relationship with that sponsor and will be in accordance with the sponsor's own privacy policy. If you do not wish the sponsor to contact you, please communicate this directly with the sponsor at the event or thereafter.

In addition, we sometimes take photos and videos at our events, which may feature attendees, speakers, panellists, sponsors or exhibitors. Where photos and videos are taken that feature you as an attendee, speaker, sponsor or exhibitor, we may use those photos and videos for promotional purposes unless you have specifically requested in writing that we do not use your photo or video.

4. How we protect personal information

Any personal information given to us will be treated with the utmost care and security. This section sets out some of the security measures in place.
A variety of physical and technical measures are used to keep data safe and prevent unauthorised access to and/or use or disclosure of personal information.
Electronic data and databases are stored on secure computer systems and we control who has access to the information, using both physical and electronic means.
All reasonable steps are taken to ensure that your personal information is kept secure from unauthorised access, but we cannot guarantee it will be secure during the transmission process to this website because this transmission is not controlled by us. We make use of HTTPS (HTTP Secure) whereby the communication protocol is encrypted via Transport Layer Security for secure communication over a computer network. The website is loaded via HTTPS, represented by the lock icon in your web browser, which ensures the transmission is secure and is demonstrated by a certificate issued by an official security certificate authority to us.

5. Who we share personal information with

Unless otherwise previously stated, we share the personal information we collect with third parties to assist in the provision and promotion of our products and services relating to our conference and event.
For the purpose of organising, hosting and managing our events, conferences and trade shows, we may share your personal data with any event agency contracted by the 3vents, any companies providing exhibition stand building or audio-visual supply services on behalf of 3vents, any conference venue, any sponsors that exhibit at an event or conference when you access their (physical or virtual) exhibit or when you decide to engage with them, hotel booking services agency, IT service providers, registration service providers and virtual environment service providers in case of virtual event.
Furthermore, we only share personal information with such third parties to the extent necessary for them to provide such assistance.
In addition, where it is in the legitimate interest of 3vents to do so for the purposes of promoting its event (including conferences, webinars, etc), we may share your personal information with sponsors of these events.
In some circumstances, we may be legally required to disclose your personal information, because a court, the police, another judicial or law enforcement body, or government entity has asked us for it.

6. Is your personal data transferred outside the EEA?

For the purposes described in this policy, your personal data will be kept within the EEA and transferred outside the EEA only to a country or countries which have been recognised by the European Commission to provide an adequate level of data protection.

7. How long information is kept

We will only retain your personal information for as long as is necessary and as permitted by applicable laws.
We will retain your personal information while we are using it, as described in the section above and may continue to retain it after these uses have ended where we have a legitimate business purpose.
The length of time for which we will retain personal information will depend on the purposes for which it is retained. After we no longer need to retain your personal information, it will be deleted or securely destroyed.

9. Your Rights

3vents operates in countries with data protection laws that may provide individuals the right to be able to access and control their information. We will enable you to exercise those rights as provided by data protection laws.
EU data protection laws give individuals a number of rights, where their data and information is processed by companies established in Europe. Under General Data Protection Regulation these are:
The right to confirmation whether or not we have your personal data and, if we do, to obtain a copy of and review the personal information we hold. This is known as a subject access request;
The right to have inaccurate data rectified;
The right to have your data erased. You have the right to erasure of all the personal data processed by as described herein in case it is no longer needed for the purposes for which the personal data was initially collected or processed or in other instances foreseen in the Data Protection Legislation;
The right to request the restriction or suppression of personal data in certain circumstances described in the Data Protection Legislation. We will stop using the data but we may continue storing it;
The right to obtain your personal data that you have provided to us, on the basis of consent or performance of a contract, and where technically feasible, transmitted in a common electronic format to you or directly to another company;
The right to object to the use of your data. Under certain circumstances described in the Data Protection Legislation, you may object to the processing of your personal data, including to the processing for direct marketing purposes;
The right to withdraw your consent. If your personal data is processed on the basis of your consent, you have the right to withdraw your consent at any time you choose and on your own initiative. The withdrawal of your consent will not affect the lawfulness of the collection and processing of your data based on your consent up until the moment where you withdraw your consent.
There are exceptions to the rights above and we will always try to respond to your satisfaction, although there may be situations where we are unable to do so.
Depending on the laws of the country where you live, you may have other rights in respect of your personal information. If you wish to exercise any legal right in respect of your personal information, please contact us via one of the methods set out in section 11 below.
In some cases, we may be entitled to decline a request you have made regarding your personal information, in accordance with application laws. We will explain if that is the case. Otherwise, we will meet your request as promptly as we reasonably can.
If you have unresolved concerns, you have the right to lodge a complaint with an EU data protection authority where you live, work or where you believe a breach may have occurred.

10. What rules apply to children?

We do not knowingly collect of solicit personal data from anyone under the age of 18 or knowingly allow such persons to register for events, conferences or trade shows.
In the event we learn that we have collected personal data from a child under the age of 18 without verification of parental consent, steps will be taken promptly to remove that information. These Wholesale Tours Registration Terms and Conditions (the "Registration Terms and Conditions") apply between 3vents S.r.l.(“3vents”) and the person, firm, company or other entity completing the registration process (“you”, “your” or “Delegate”) for the Wholesale Tours 2023 stages (the "Event"). Please carefully read these Registration Terms and Conditions in full prior to registering to attend the Event as they contain important information. By completing a registration for the Event, you agree to be bound by these Registration Terms and Conditions.

Event Program

The Event program will be available on the Wholesale Tours 2023 website. 3vents reserves the right to modify the program, format, speakers, content or any other aspect of the Event at any time and for any reason, in each case without liability on 3vents’s part.

Access to the Event Venue

Your right to access the venue shall be strictly subject to the compliance with these Registration Terms and Conditions, and all policies, rules and regulations imposed by 3vents, including but not limited to the Health and Safety Policy and the Event Code of Conduct.
3vents may, in its sole discretion, refuse you access to or eject and/or block you from the Event, should you fail to comply with these Registration Terms and Conditions, Health and Safety Policy, or Event Code of Conduct or should you, in the opinion of 3vents, represent a health or security risk, nuisance or annoyance to the running of the Event or the enjoyment of the Event by other delegates. You agree to comply with all reasonable instructions issued by 3vents or any other operator of the Event.

Visual material of the Event

You are permitted to use hand-held cameras and/or smart phones to take photographs and capture digital images for personal, non-commercial use, provided it does not infringe upon the intellectual property rights or any other right, of any delegate, sponsor, third party, or 3vents. Photographs may not be sold, reproduced, transmitted, distributed or otherwise commercially exploited in any manner whatsoever.

3vents may hire professional service providers (photo/video/audio/streaming) to document and showcase the Event experience, including in the main exhibition hall, the workshops, the exhibitions, keynote and other panel speakers.

You hereby grant 3vents the right to reproduce, publish, communicate to the public, exhibit or otherwise use your name, voice and/or image fixed in photographs, films, video and/or sound recordings ("Visual Material") as taken and/or filmed during the Event in the main exhibition hall, the workshop and Event rooms, adjoining corridors, the exhibitions, the workshop and Event keynote and other panel speakers’ speeches and other presentations and this for advertising or promotional purposes, on all tangible and intangible media, including on the website(s), social networks or other media, or for any other similar legal purpose, to the greatest extent permitted by applicable law.

This authorisation includes the possibility for 3vents to make any modifications, adaptations or deletions deemed useful to the initial fixing of your Visual Material. 3vents undertakes to ensure that the finished product does not damage your honour and reputation. You hereby waive the right to inspect or approve the finished product in which your Visual Material appears, and all rights, claims and damages that you have or may have as a result of the use of your Visual Material by 3vents.

This authorisation to use your image right is granted free of charge. It is granted for the duration of copyright protection of the photographs, films, video and/or sound recordings in which your Visual Material is fixed.

Exhibitors retain the right to take photographs and to film within their booth area for the duration of the Event, for commercial or marketing purposes of the Exhibitor. 3vents shall not be held liable for any Visual Material taken by Exhibitor or on Exhibitor’s behalf.

Intellectual Property

All intellectual property rights in and to the Event, the Event content, and all materials distributed at or in connection with the Event are owned by 3vents, the Event exhibitors, or the Event speakers. You may not use or reproduce or allow anyone to use or reproduce any trademarks, trade names, logos or other intellectual property rights appearing in any Event content or in any materials distributed at or in connection with the Event for any reason without the prior written permission of 3vents.

Privacy

3vents will process your personal data and the personal data relating to all registered delegates provided during the registration process to organise, host and manage the Wholesale Tours 2023, and for analysing visitor traffic with a view to improving the Wholesale Tours experience for current and future attendants.

Communication and direct marketing

You will receive essential information in relation to the Event electronically at the email address that is provided for your registration. Please ensure that such email address is valid and entered correctly in the registration process. Be sure to check your junk email box too in case any of your Event email(s) are caught by spam filters.

You will also be added to the Event participant list for receiving notifications relating to future virtual or physical Event organised by 3vents, including related offers and promotions. You may opt out of marketing communications and object to any processing activities at any time and will be given the option to do so in each communication. Badges

All registrant badges may contain a barcode or QR Code recording the following information: First Name, Last Name, Job Title, Registrant Email Address, Organisation Name, and Organisation contact details.

Once you have picked up your badge, it must always be worn for the duration of the Event to gain access to all Event activities.
Persons that have not registered for the Event will not have access to the venue. Sharing of delegate badges is not permitted at any time.
Anyone found counterfeiting, copying, sharing, and/or using badges from past events may be subject to sanctions, up to and including removal from the Event.

Badge scanning

3vents use of badge scanning
3vents may use RFID and/or handheld badge scanning technology in the Event’s badge to determine session attendance and to manage session capacity. Data collected from badge scanning will be anonymised and aggregated and will only be used to determine a total number of attendants at each of the Event sessions. Per our Privacy Policy, we will not share your personal information with a third party without your consent. 3vents shall not use RFID information for commercial purposes, and shall not share RFID information with exhibitors or with any other third parties.
Exhibitor use of badge scanning
3vents allows exhibitors to do their own badge scanning at the Event. 3vents is not responsible for exhibitor scanning. When an exhibitor scans your badge at their booth or upon attending an exhibitor workshop or Event session, you are consenting that your personal data may be collected and shared with that exhibitor to communicate with you about their services and special offers in accordance with the exhibitor’s Privacy Policy. In accordance with the exhibitor’s Privacy Policy, they may use your details for marketing purposes.
Providing your information to them is optional. Please read the relevant Privacy Policies of such third parties to understand how they will process your personal data. 3vents does not take any responsibility for marketing messages sent by third parties and the processing of your personal data by such third parties.

Event Mobile Application

3vents may provide tools and services that are designed to help delegates get the most value out of their Event experience. These tools and services are designed to help delegates build a personal agenda, find and connect with others during the Event.
If you opt in to be included on the attendee list, you will be able to connect with other delegates through the Direct Messaging and/or Meeting or Appointment features in the Event’s Mobile Application.

Event cancellation or postponement

3vents reserves the right to cancel or postpone the Event. 3vents shall promptly inform you in case of such Event cancellation or postponement.

Limitations of liability

Without prejudice to more specific provisions on limitation of liability within these Registration Terms and Conditions, the maximum aggregate liability of 3vents for any claim in any way connected with, or arising from, the Event or these Terms and Conditions, whether in contract, tort or otherwise (including any negligent act or omission), if applicable, shall be limited to the registration fee amount eventually paid by you to 3vents.
To the largest extent as authorised by applicable law, 3vents shall not be liable to you for any indirect, incidental or consequential damages, including, but not limited to, damages for loss of revenue, profits, business opportunities, data or information, arising under or in connection with these Registration Terms and Conditions, however caused and under any legal theory of liability, including, but not limited to, strict liability, contract, or tort and even if 3vents has been advised of the possibility of such damage.
To the largest extent as authorised by applicable law, 3vents shall not be liable for any damages, losses or expenses incurred at any time in relation to the Event or for any damage or loss caused by the removal or refusal of entry of the delegate pursuant to these Registration Terms and Conditions.

The delegate shall indemnify, and hold 3vents harmless from and against any costs, losses, or damages 3vents suffers, incurs or pays to any Event venue, exhibitor, supplier, delegate or any other party connected to the Event arising from or connected to:
any breach by the delegate of these terms and conditions; any damage done to any Event Venue or any equipment thereon (whether provided by 3vents, the Event Venue, Exhibitor, Supplier or otherwise) by the delegate, including, but not limited to, any equipment provided for the Event; and any injury suffered by any person, animal or item caused by or in consequence of any act or omission of the delegate.
Delegates must put in place appropriate insurance to cover any costs, liabilities or other losses that they may suffer or incur arising out of these Terms and Conditions (including, without limitation, the indemnity above), any cancellation of any Event for any reason, any damage or loss to your property or their inability to attend the Event for any reason (including any reason beyond their control). Delegates acknowledge that 3vents shall not be liable for any costs or losses arising due to such cancellation or inability to attend, save to the extent expressly set out in these terms and conditions, and therefore it is their responsibility to ensure they have appropriate insurance.
The limitations of liability in these Registration Terms and Conditions will not limit or exclude liability of 3vents for fraud, gross negligence, or wilful misconduct.

Disclaimer and Waiver

The Event is reserved for professionals only. You warrant that you are not a consumer and that you have not completed the registration on behalf of any consumer(s).
Any investment or purchase decisions made by the delegates are theirs alone and such decision would in no way be influenced by any prior relationship or dealing with the organiser or any of its officers, directors, employees or representatives. The information presented at the Event is intended for a general audience and does not purport to be, nor should it be construed as, specific advice tailored to any individual. You agree to hold 3vents, the Event sponsors and any speakers completely free from any liability resulting from your attempts to use the strategies that are presented.
The views, opinions, and positions expressed by the speakers, delegates or sponsors at the Event are theirs alone and do not necessarily reflect the views, opinions, or positions of 3vents or any employee thereof. 3vents does not warrant and assumes no responsibility for the accuracy, appropriateness and/or completeness of any information available during the Event and/or thereafter on Event website. 3vents shall not be liable for any content made available at the Event, including by sponsors, speakers and delegates, which infringes, misappropriates or violates intellectual property rights or rights of publicity or privacy of a third party or violates any law, statute, or ordinance. 3vents may make changes to such content, at any time without notice.
3vents does not endorse, and expressly disclaims all liability relating to, any of the products or services provided or presented by speakers, delegates or sponsors during the Event. 3vents does not endorse or accept any responsibility for the content, or the use of any goods or services that may be identified or described on the Event website and shall not be liable for any loss or damage caused or alleged to be caused by or in connection with use of, or reliance on, any content, goods or services available on or through the Event or any website or other resource referenced therein.

Code of Conduct

Our events are an opportunity to share information, increase knowledge, network, and build business relationships. We encourage the open exchange of ideas, support professional development and personal growth by ensuring our global attendees’s diverse range of voices are represented. 3vents is dedicated to ensuring that our events and affiliated gatherings are an inclusive, respectful, productive, and harassment-free experience for everyone.
You may not and agree not to disrupt any sponsor's exhibit, any keynote or panel session speech or any other part of the Event in any way whatsoever.
You may not and agree not to demean, discriminate, abuse, harass, or threaten those who you engage with online, at the Event, and the venue.
All unauthorised recording or transmitting of audio or visual material of the Event, data or information, including but not limited to personal data relating to delegates, is expressly prohibited.

Health and Safety Policy

3vents shall endeavour to comply with all health and security measures that may be imposed by local government or the venue upon organisation of the Event. 3vents undertakes to organise the Event in compliance with the guidelines from the World Health Organisation (WHO), the relevant local governmental agencies, health authorities, and best practices recommended by the Event venue, and shall make all reasonable efforts to take care of the health and safety of the delegates.
As the health and safety guidelines related to COVID-19 are continually developing globally, 3vents’s health and safety precautions are subject to change. Therefore, 3vents shall inform all delegates of the specific health and safety precautions and measures that will be imposed to enter and participate in the Event no later than two weeks prior to the Event.
In case health and safety guidelines related to COVID-19, imposed at the time of the Event by the World Health Organisation (WHO), the relevant local governmental agencies, health authorities, and best practices recommended by the Event venue, require limitation of the maximum number of delegates permitted to participate at the Event, then 3vents reserves the right to prioritise Event access, on a first come, first served basis, according to the date they have registered.
To the largest extent as authorised by applicable law, 3vents’s liability to you for any limitation of attendance due to health and safety guidelines shall not exceed the total amount of Fees which you have paid for the Event and 3vents shall not be liable for any other direct or indirect damages, losses, costs, or expenses incurred due to an Event cancellation or postponement, including but not limited to any transportation costs, accommodation costs, costs for additional orders, financial losses, etc.

Delegates agree to self-monitor for signs and symptoms of COVID-19 (symptoms typically include fever, cough, and shortness of breath). Delegates understand and acknowledge that at every instance they enter the Event, they are affirming that they are not experiencing any signs or symptoms of COVID-19.
By registering to the Event, delegates agree and acknowledge that they will adhere to all local, regional or federal government requirements and guidelines, as well as any health and safety precautions or measures as may be imposed by 3vents or the Event venue. Delegates who do not comply with the health and safety precautions mentioned above will not be permitted to enter or remain on Event premises.
Despite all bona fide efforts, 3vents does not warrant nor guarantees against potential exposure to and spread of COVID-19 at the Event. By choosing to voluntarily register and participate, the delegates understand, acknowledge, and assume the risk of potential exposure to COVID-19 at the Event.
To the maximum extent possible under the applicable law, you hereby waive your right to introduce any claims, demands, damages, costs, or arising from or relating to exposure to, infection with, or spread of COVID-19, in connection with your participation, attendance or other involvement with the Event.
To the largest extent as authorised by applicable law, 3vents shall not be liable for any direct of indirect damages, losses, costs or expenses arising from or relating to exposure to, infection with, or spread of COVID-19, in connection with your participation, attendance or other involvement with the Event.

Miscellaneous

All references to a date or a deadline, mentioned in these terms and on other Event documents, refer to the Central European Time Zone (CET), if not marked otherwise.
If any provision in the Terms and Conditions, whether in full or in part, is held to be invalid or unenforceable, all other remaining provisions (in full or in part) shall continue to be valid and enforceable.
The Terms and Conditions shall be subject to Italian law and the exclusive jurisdiction of the Italian Courts.
